Case Intake Assistant

Helps Child Support staff organize intake information, flag missing documents and prepare a source-linked, review-ready case summary in SBS Portals.

What this assistant does

A clear starting point for Child Support case review

The Case Intake Assistant organizes information supplied through approved intake sources into a structured draft for Child Support staff. It brings together submitted details, supporting documents and unresolved questions so a caseworker can review the material efficiently. It does not determine eligibility, establish parentage, calculate a support obligation or recommend enforcement.

From intake packet to a review-ready summary

  1. Receive and organize. Read permitted intake forms and attachments from SBS Portals. List the documents received and capture supplied case references and party details under the office’s access rules. Possible matches to existing records go to staff for confirmation; the assistant does not merge identities automatically.
  2. Check administrative completeness. Compare the packet with the approved intake checklist. Flag missing required fields, missing attachments and unreadable files. An incomplete packet is a request for staff attention, not an automatic rejection.
  3. Build the draft summary. Organize supplied information into the office-approved sections, such as intake purpose, parties as reported, existing case or order references, document inventory and relevant dates. Link each substantive statement to its source field or document page. Leave information that was not provided clearly marked as unknown.
  4. Surface discrepancies and sensitive handling needs. Show conflicting names, dates or references side by side without choosing which account is true. Keep reported statements distinct from document content and staff-verified facts. Explicit confidentiality or safe-contact requests are flagged for authorized staff and handled under configured restrictions.
  5. Prepare the review checklist. Present outstanding questions and draft requests for missing information for caseworker approval. Do not automatically contact another party or include restricted addresses or identifiers in routine notifications.
  6. Hand off and refresh. Route the summary, source references and checklist to the assigned staff queue in SBS Portals. Staff verify and correct the draft before relying on it. When new material arrives, refresh the summary and retain a history of changes and unresolved items.

Example: an order is referenced but not attached

An applicant refers to an existing support order but does not provide a copy. The assistant records that reference as applicant-reported, marks the document as missing, and prepares a clarification draft for staff review. It does not infer the order’s terms, current balance or enforceability. A caseworker decides how to obtain and verify the record before completing the review.

What staff receive

The review packet contains a structured draft summary, document inventory, source references, completeness checklist and a separate list of conflicting or unverified information. It contains no eligibility score, credibility rating or recommended legal outcome.

How it works with SBS Portals

Configure access to the relevant intake records and permitted documents, attach the draft summary to the staff task, and route it through the existing SBS workflow. Restricted information follows staff-approved access and handling rules. Case status changes, outbound communications and official decisions require the authorization defined by your office.

Configure and test with your team

Start with one intake workflow, an approved summary template, the required-document checklist, access restrictions and escalation contacts. Use representative examples, including incomplete packets, conflicting information and confidentiality requests, to test source accuracy and staff handoffs before deployment.

Can be configured to

  • Organize approved intake forms and supporting documents
  • Check completeness against the office-approved intake checklist
  • Prepare a structured draft summary with source references
  • Separate reported, documented and staff-verified information
  • Flag missing records, inconsistencies and explicit confidential-handling requests
  • Draft clarification questions for caseworker approval
  • Route review packets and track summary revisions in SBS Portals

Typical workflow

Routine work moves. Exceptions return to people.

Information arrives
Worker reads + checks
Approved action or route
Exception → employee

What remains human

Authorized Child Support staff verify facts and identity, approve communications and determine case actions. Eligibility, parentage, support calculations, credibility assessments, enforcement and legal decisions remain with qualified staff. The assistant does not make recommendations about those outcomes or automatically disclose restricted information.

The exact boundary is documented, tested, and approved with your team before deployment.
