Infraction Deferral Assistant

Helps Prosecutor staff organize deferral requests, check supplied information against office-approved eligibility criteria, and prepare documented findings for authorized review in SBS Portals.

What this assistant does

Prepare eligibility information for prosecutor review

The Infraction Deferral Assistant supports the administrative review of requests to participate in an infraction deferral program. It organizes the request, checks completeness and presents evidence against the program criteria supplied by your office. It does not determine eligibility, recommend a legal disposition or approve or deny participation.

From request to a documented review packet

  1. Receive and identify. Read the request and permitted supporting records from SBS Portals. Capture supplied case and citation references, contact information and the requested program. Uncertain case matches go to staff; the assistant does not merge identities automatically.
  2. Check completeness. Compare the submission with the office-approved checklist. Identify missing fields, attachments or acknowledgments, and draft a focused request for clarification for staff approval.
  3. Organize criteria and evidence. Use the version of the program checklist approved for the request. For each configured criterion, show the relevant supplied or authorized source information, its source reference and any missing evidence. Clearly distinguish applicant-reported information from records staff have verified.
  4. Flag discrepancies for review. Highlight conflicting dates, uncertain record matches, missing information and cases requiring interpretation. Do not treat missing evidence as a failed criterion, infer an adverse history or assign an eligibility score.
  5. Prepare the prosecutor review packet. Present a request summary, document inventory, criterion-by-criterion evidence table and unresolved questions. Prosecutor staff verify the evidence, interpret the rules and make the eligibility and participation decision.
  6. Process the authorized next step. After staff record their decision, prepare the corresponding communication and route the request through the configured SBS workflow. Any status updates or notifications require the permissions and approvals defined by the office. Retain the review history and recheck corrected information when directed.

Example: information needed to assess a criterion

A request includes a citation reference but lacks a document required by the office’s current program checklist. The assistant marks that criterion’s evidence as incomplete, cites the checklist item and drafts a clarification request. It does not classify the applicant as ineligible. Staff decide what information is needed, verify it when received and make the official determination.

How it works with SBS Portals

Configure access to the approved request forms, case references and permitted supporting records. Attach the review summary and evidence checklist to the SBS task, route questions to the assigned staff queue and prepare follow-up steps after an authorized decision. The assistant does not independently access outside records or send a disposition to an applicant.

Configure around your program

Your office supplies the current program criteria, effective dates, required documents, approved information sources, staff roles and communication templates. Test complete, incomplete, conflicting and exceptional requests before launch. Policy changes and questions about which rules apply require staff review; the assistant does not supply its own eligibility rules.

Can be configured to

  • Organize requests and supplied case references
  • Check administrative completeness against the approved program checklist
  • Prepare a criterion-by-criterion evidence table with source references
  • Separate reported information from verified records
  • Flag missing evidence, discrepancies and interpretation questions
  • Draft clarification requests and decision communications for staff approval
  • Route authorized next steps and retain review history in SBS Portals

Typical workflow

Routine work moves. Exceptions return to people.

Information arrives
Worker reads + checks
Approved action or route
Exception → employee

What remains human

Authorized Prosecutor staff determine eligibility, approve or deny participation, interpret program rules and decide case actions. Legal discretion, exceptions, fees, deadlines and communications remain under staff authority. The assistant does not score applicants, recommend legal outcomes or make automated adverse decisions.

The exact boundary is documented, tested, and approved with your team before deployment.
