Submission Checker Digital Assistant

Helps clerks check required fields, attachments and filing rules, then prepares a clear checklist of what is ready and what needs attention.

What this assistant does

A completeness check before the clerk makes the decision

Submission Checker supports county, city and township clerks handling forms and supporting documents. It compares each submission against your office-approved checklist and flags missing or inconsistent information. Your clerk remains responsible for official acceptance, rejection and filing.

From submission to a review-ready packet

  1. Receive and identify. Read a submission from an approved intake source, identify the filing type, and match it to the applicable checklist. Unrecognized types go to the clerk.
  2. Check required fields. Flag blanks, inconsistent names or reference numbers, and missing dates or signature indicators. Recognizing a signature field does not establish authenticity.
  3. Check attachments. Compare the files received with the required document list. Flag missing, unreadable, password-protected or apparently incomplete documents for review.
  4. Apply filing rules. Check configured naming conventions, document formats, required identifiers and routing requirements. Ambiguous rules and possible deadline issues go to the clerk.
  5. Prepare the next step. Produce a checklist showing each requirement, the supporting field or document, and any exception. Draft a missing-information request for the clerk to approve.
  6. Return to the clerk. Route a complete-looking packet for official review, or an exception packet for clarification. Recheck corrected submissions against the same checklist while retaining the review history.

Example: one missing attachment

A filing arrives with the required fields completed but without a required supporting document. The assistant marks that requirement as missing, points to the checklist item, and drafts a request for the document. The clerk reviews the finding and decides what to communicate. Once the document arrives, the assistant rechecks the packet and presents it for review; it does not declare the filing legally accepted.

What we configure with your office

Start with one filing type, its approved checklist, sample submissions, allowed information sources, routing rules and staff permissions. Your team tests complete, incomplete and unusual examples before enabling the workflow. Rule changes require an authorized review of the checklist.

A clear handoff, not an unexplained score

The clerk receives a requirement-by-requirement checklist, document references, missing-item notes and a suggested next action. Uncertainty remains visible instead of being treated as a pass.

Can be configured to

  • Identify submission type and select an approved checklist
  • Check required fields and cross-document consistency
  • Compare attachments with the required document list
  • Flag unreadable files and uncertain findings
  • Apply configured filing and routing rules
  • Draft missing-information requests for clerk approval
  • Recheck corrected submissions and retain review history

Typical workflow

Routine work moves. Exceptions return to people.

Information arrives
Worker reads + checks
Approved action or route
Exception → employee

What remains human

The clerk approves applicant communications and makes official acceptance, rejection and filing decisions. Legal interpretation, deadline exceptions, signature authenticity and discretionary decisions remain with authorized staff. The assistant does not make eligibility decisions or waive filing requirements.

The exact boundary is documented, tested, and approved with your team before deployment.
